Which County Holds St. Cloud Death Records
St. Cloud is the county seat of Stearns County, and the large majority of the city lies within Stearns County borders. While the city technically extends into Benton County on its eastern edge, most St. Cloud residents use Stearns County for death records. If a death occurred in the Benton County portion of the city, that record would be filed with Benton County instead. If you are unsure which county to contact, the address of the death is the deciding factor.
Minnesota law requires counties, not cities, to maintain vital records. The city of St. Cloud has no role in issuing or storing death certificates. The Stearns County vital records office registers all deaths that occur in the Stearns County portion of St. Cloud, and those records remain in county custody permanently. Death certificates from roughly 1870 forward are available through the county, and records from 1997 onward can also be accessed through the statewide MDH registry.
Once a funeral home or physician files the death certificate with the county, the county registers it within a set window. The service center in Waite Park is easily accessible from most parts of St. Cloud. Hours of operation are posted on the county website. It is a good idea to check hours before going in, especially if you are visiting near a holiday or during peak periods when wait times can be longer.
The City of St. Cloud does not maintain a vital records department. If you call city hall looking for a death certificate, they will direct you to the county. The county service center is the correct contact for all death record requests in the St. Cloud area.

Requesting a St. Cloud Death Certificate
Stearns County accepts death certificate requests in person and by mail. The steps for each method differ slightly.
In Person: Go to the Stearns County Service Center in Waite Park. Bring a valid government-issued photo ID, such as a driver's license or passport. Fill out the request form at the counter, pay the fee, and the clerk will process the request. If the record is in the county system, you may receive the copy the same day.
By Mail: Download the request form from the Stearns County website, or write a letter with the following: full name of the deceased, date of death, city and county of death, your name and relationship to the deceased, and your mailing address. Sign the letter and have your signature notarized. Include a photocopy of your photo ID and a check or money order payable to Stearns County. Mail everything to the Service Center address above.
Online via MDH: For St. Cloud deaths from 1997 onward, you can order a certified copy online through the Minnesota Department of Health's VitalChek system. Visit health.state.mn.us for the link. Online orders are processed by MDH, not the county, and extra processing fees apply.
Note: Mail requests for certified copies must include a notarized signature. Requests without notarization will be returned. In-person requests only require valid photo ID.
Fees for St. Cloud Death Certificates
The Minnesota Department of Health sets a standard death certificate fee schedule that all counties follow. Current amounts are:
- Certified death certificate, first copy: $13
- Each additional certified copy ordered at the same time: $6
- Non-certified copy, first copy: $13
- Certified copy for a veteran: Free (one per veteran)
If you need more than one certified copy, ordering them together saves money. A second request submitted later will cost the full $13 again. For families settling an estate, it is worth thinking ahead about how many copies you need and ordering them all at once.

Who Can Get a St. Cloud Death Certificate
Certified death certificates are restricted under Minnesota Statute 144.225 to individuals with a tangible interest in the record. This means a spouse, parent, adult child, sibling, or the legal representative of the deceased. Attorneys and government agencies with a legitimate legal need may also qualify. You will need to state your relationship and may be asked to provide supporting documentation.
Non-certified copies are available to anyone. You do not need to prove a relationship or state a reason. Non-certified copies are printed on plain paper without the county seal. They cannot be used to settle an estate, claim life insurance, or handle most legal or financial matters, but they work fine for genealogy research or informational purposes.

Historical St. Cloud Death Records
Stearns County death records go back to around 1870 for the St. Cloud area. Early records from the late 19th century can be sparse.
